Starting Priorities

Run bi-weekly and semi-monthly payroll for our trucking and agriculture clients in Gusto, including owner-operator settlements built from driver settlement/earnings data.

Own day-to-day cash-flow and bill-pay decisions for a trucking account — what gets paid now vs. held, based on incoming factoring payments and account balances.

Reconcile invoice-factoring activity with our factoring partner — escrow, reserve, and chargeback handling (we'll train you on factoring-specific terms and workflows).

Conduct periodic reviews of financial transactions to identify and resolve discrepancies.

Assist in the preparation of financial reports, such as income statements, balance sheets, and cash flow statements.

Skills and Education
Education: Bachelor's degree in Accounting, Finance, or a related field preferred, not required.
Experience: 3+ years of bookkeeping, payroll, or accounting experience. Gusto payroll experience strongly preferred. Previous client or account management experience preferred.
Skills: Strong understanding of accounting principles and payroll tax rules. Proficient in QuickBooks Online, Microsoft Office Suite, and Google Workspace. Comfortable using remote workflow tools such as TaxDome and Asana (or willing to learn).
Non-Negotiable Skills: High attention to detail and accuracy, comfort with cash-flow judgment calls, exceptional communication skills, and the ability to work independently in a remote environment.

Serve as the primary point of contact for clients — starting with our trucking accounts — maintaining professional communication and ensuring client satisfaction.

Own month-end and year-end closing procedures for most of our bookkeeping clients, ensuring all necessary adjustments are made for accurate financial reporting.

Monitor and verify that all bookkeeping activities adhere to relevant accounting standards and regulations.

Implement quality-control measures to review financial records for accuracy and completeness across the client roster.

Train and mentor bookkeeping and payroll staff on procedures and compliance requirements; monitor team performance and provide feedback to improve accuracy and efficiency.

Support related payroll compliance work: quarterly filings, retirement plan contributions, garnishments, and new-hire/termination processing.

Identify inefficiencies in bookkeeping and payroll processes and propose and implement solutions; streamline workflows to optimize accuracy and efficiency.

Provide updates, address concerns, and gather feedback from clients; attend meetings by phone or video call.

Maintain detailed, organized records of client interactions, agreements, and project milestones; build strong client relationships to support long-term satisfaction and retention.
